Executive Assistant

Are you an experienced Executive Assistant with excellent attention to detail and the ability to stay one step ahead? You will support the CEO in executing on organisational strategy and day to day priorities. Your support would mean that the company is able to continue evolving at a rapid pace by keeping key priorities moving as intended. Daily responsibilities range from working on key administrative tasks including but not limited to; creating strategic documents, liaising between team members, taking minutes and following up on action items and managing stakeholders of external projects.

As EA to the CEO, your main responsibilities would be:

  • Primary responsibility of supporting the CEO
  • Manage professional and personal scheduling for CEO, including agendas, mail, email, calls, travel arrangements, customer management, and other company logistics
  • Coordinate complex scheduling and extensive calendar management
  • Regularly review inbox and respond to/action emails where appropriate, bringing urgent items to attention
  • Drafting, preparing correspondence, agendas, taking minutes, creating presentations, and organising briefing notes
  • Various presentation and report compilation
  • Collate agenda items and follow up action items for team meetings
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion
  • Reconciliation of invoices and receipts
  • Demonstrate exceptional communication skills
  • Plan and orchestrate work to ensure priorities are met (some work outside of normal hours)

The ideal candidate has:

  • 4+ years experience in administrative role
  • Superb written and verbal communication skills
  • Strong time-management skills
  • Exceptional attention to detail
  • Well-organised
  • Proficiency in Google Suite
  • Flexible team player willing to do what it takes to get the job done, adaptable and enjoys a challenge
